IT Finance & Operations Analyst

About the Role

We are seeking an analytically minded IT Finance Analyst to join our London Monks office. You will manage the operational budgets, spend allocations, and day-to-day financial administration within our Technology department. Reporting directly to the Head of IT, you will act as the operational bridge between IT and central Corporate Finance.

A core focus of this role is managing multi-entity accounting data: you will oversee the monthly collection, checking, and precise allocation of IT spend and corporate credit card usage across 30+ entities under the parent company. The ideal candidate has strong numeric capabilities, a background in tracking rolling forecasts, and the communication skills required to manage incoming technology vendor invoicing and raise clean Purchase Orders (POs). Literacy in NetSuite is highly desirable to streamline these multi-entity tracking processes.

Responsibilities:

• Multi-Entity Spend Allocation: Oversee the monthly process of checking, splitting, and allocating group-wide IT costs and shared technology services accurately across 30+ corporate entities.
• IT Buyer Collaboration: Work closely with the IT Buyer based in the Netherlands to coordinate purchases and the allocation of monthly costs, ensuring consistency between procurement activity and IT budget tracking.
• Credit Card Reconciliations: Act as the main gatekeeper for IT corporate credit cards; check and cross-reference monthly spending, capture receipts, and ensure precise expense mapping back to the correct entities and internal cost codes.
• PO Administration: Own the end-to-end process of drafting and raising IT Purchase Orders (POs), routing them through internally established approval chains while ensuring they map back cleanly to agreed IT budget metrics.
• Vendor Checking & Processing: Regularly audit and check incoming technology supplier bills and statements against delivered services, resolving payment anomalies before they are passed to the finance ledger.
• Forecasting & Budget Controls: Keep track of the IT baseline budget by continuously updating rolling expenditure forecasts and delivering variance reports directly to the Head of IT.
• NetSuite Support: Utilize NetSuite to review transactional listings, track purchase orders, audit intercompany ledgers, and extract reporting arrays to support budget management.

About You

The essentials:

• Data Management & Numerical Skill: Proven experience in a financial administration, bookkeeping, or project-tracking role dealing with complex datasets or multi-entity cost cross-charging. - Forecast & Spend Management: Strong competence in monitoring expenditures against static budgets, adjusting rolling forecasts, and reporting financial variance over time.
• Administrative Transactional Control: Background cleanly managing corporate credit card workflows, processing POs, and performing verification checks on vendor invoices.
• Cross-Border Collaboration: Comfortable coordinating with international stakeholders (e.g., the Netherlands-based IT Buyer) on purchasing and cost allocation matters.
• Advanced Spreadsheet Proficiency: Proficient using Excel formulas (e.g., Pivot Tables, SUMIFS, VLOOKUPs) to structure, audit, and cleanly format cost matrices.
• Systems Familiarity (NetSuite): Practical user literacy in NetSuite (such as searching ledgers, checking PO approvals, or generating data dumps) is highly preferred.
• Business Intelligence & Analytics (Beneficial): Experience with BI/analytics tools (e.g., Power BI, Tableau, or similar) is beneficial, supporting the ability to build reporting dashboards and derive insights from multi-entity cost data.
• Clear Communication: Ability to communicate financial data and budget timelines smoothly to the Head of IT, central accounting teams, and external suppliers.
