The Philanthropic Growth and Engagement Team

The Philanthropic Growth and Engagement Team leads efforts to secure restricted and unrestricted funding while strengthening our relationship with supporters and enhancing our global brand. The Fundraising Operations function provides the systems, processes, data and financial support that enable effective and compliant fundraising.

The Position

As a Fundraising Operations Assistant, you’ll play a vital role in supporting Prosper Global’s mission by ensuring donors feel valued and their contributions are handled with care. You will be responsible for processing incoming gifts, maintaining accurate and up-to-date supporter records, and delivering high-quality supporter care to individuals who reach out to us. Your work will help strengthen relationships with donors and support the smooth operation of our fundraising efforts.

Essential Responsibilities

administration

  • Process incoming donations, including cash, cheques, card payments, and digital contributions, ensuring timely and accurate handling.
  • Maintain organised and secure digital records, including scanned donation forms and related correspondence.
  • Maintain and update Gift Aid declarations in line with HMRC regulations, ensuring all records are complete and compliant.
  • Track and record email subscription statuses and supporter communications across platforms.
  • Oversee the day-to-day administration of recurring donor accounts, including updates and troubleshooting.
  • Conduct and action regular data audits to ensure the accuracy, completeness, and integrity of supporter records in The Raiser’s Edge.
  • Process invoices related to fundraising operations and ensure accurate documentation for financial tracking.
  • Support the continuous improvement of internal procedures for gift processing, acknowledgments, and data imports, helping to streamline operations and enhance consistency.

supporter Engagement

  • Serve as the first point of contact for supporter enquiries received by phone, email and post, providing timely, courteous, and effective supporter care.
  • Process supporter requests and updates in accordance with agreed procedures.
  • Maintain accurate records of supporter interactions and communication preferences.
  • Ensure donors receive appropriate gift acknowledgments, including personalised thank-you communications.
  • Collaborate with the wider Fundraising Team to help shape and deliver meaningful supporter journeys that enhance engagement and retention.
  • Contribute to a positive and consistent supporter experience across fundraising channels.

finance and reporting

  • Support monthly financial reconciliation by investigating flagged discrepancies and making corrections to income records.
  • Provide reporting and data support to the Fundraising Operations Team as needed.

Compliance and best practice

  • Apply relevant data protection, Gift Aid and fundraising regulations and organisational policies to day-to-day activities.
  • Maintain appropriate records and documentation to support compliance and audit requirements.
  • Identify and escalate potential compliance, data quality or financial risks to the Fundraising Operations Manager.
  • Contribute to the review and improvement of operational procedures and controls.
  • Keep up to date with relevant changes to legislation, regulation and best practice

processs and systems improvements

  • Participate in the development and implementation of fundraising operations policies, procedures and systems.
  • Identify opportunities to improve efficiency, data quality and the supporter experience.
  • Support testing and implementation of system changes and new processes.
  • Document processes clearly and contribute to maintaining up-to-date operational guidance.
  • Participate in relevant fundraising operations projects and provide administrative support as required.

Accountability

  • Report directly to: Fundraising Operations and Engagement Manager
  • Works directly with: Members of the global Fundraising Operations Team, the wider Fundraising Team in Europe, the Corporate Finance colleagues, and colleagues across the global organisation.

The role works closely with U.S.-based colleagues as part of the global fundraising operations function, collaborating across teams and time zones to deliver shared processes, systems and fundraising activity.

Accountability to Participants and Stakeholders

Prosper Global team members are expected to support all efforts toward accountability, specifically to our program participants, community partners, other stakeholders, and to international standards guiding international relief and development work. We are committed to actively engaging communities as equal partners in the design, monitoring and evaluation of our field projects.

Minimum Qualification and Transferable Skills

  • Experience working in an operational, administrative, fundraising, finance, data or similar role.
  • Experience working with a CRM or relational database.
  • Strong attention to detail and a methodical approach to processing and checking information.
  • Good working knowledge of Microsoft Excel.
  • Ability to investigate discrepancies, identify problems and take appropriate action to resolve them.
  • Ability to manage competing priorities, work to deadlines and maintain accuracy under pressure.
  • Strong written and verbal communication skills, with experience in donor care or customer service.
  • Understanding of the importance of data protection, confidentiality and data quality.

Desirable

  • Experience working within a fundraising or charity environment.
  • Experience using Raiser’s Edge NXT or another fundraising CRM.
  • Experience processing charitable donations and/or Gift Aid claims.
  • Familiarity with UK data protection, Gift Aid and fundraising regulations.

Living Conditions / Environmental Conditions

The position is ideally based in Edinburgh, UK, where the Prosper Global (UK) head office is located. This role may involve occasional travel within the UK, as required.
